Setting up the 1C “Accounting” program ed. 3.0, created on the 1C Enterprise 8 technology platform, includes setting up program mechanisms, accounting options, as well as entering the primary information necessary to get started.

Setting up 1C Enterprise will allow you to set specific functionality for the 1C program, select accounting options, and enter a number of specific values ​​and parameters. The program settings block commands are located in the “Main” menu section.


Setting up program functionality

The 1C: Accounting program has wide functionality, but, as a rule, all functionality is not required to organize accounting. Therefore, it is advisable to limit the functionality of the 1C program to the necessary sections, which will allow you to get rid of overloading the interface fields with unnecessary commands. To do this you need to configure 1C.

As in other programs based on 1C Enterprise, 1C: Accounting provides three options for setting functionality:

  • Main The functionality of the 1C: Accounting program is designed for most small businesses with a fairly simple accounting system. It includes features that are sufficient for standard work.
  • Organizations that require advanced functionality can use additional 1C capabilities selectively in the form of setting up functionality on the tabs in the corresponding sections.
  • Full functionality allows you to use the capabilities and algorithms of the 1C program as fully as possible, building the most complex accounting schemes.

Setting up 1C includes mandatory filling in the details of your company. When you first launch a new infobase, the initial page will display the task of filling in your organization details.

In the Organization's directory, it is necessary to enter all information about legal entities or individual entrepreneurs, which will be used by the 1C program to fill out documents and prepare reports, for electronic document management and exchange of information with regulatory authorities.

The program has two options for filling out information about the organization:

  • Manual;
  • Automatic by specifying the Taxpayer Identification Number (TIN).

On the main form of the directory for the organization, fill out the following details:

  • Abbreviated name – official abbreviated name. Which your company has, according to its constituent documents. Used to output printed forms of documents and 1C reports;
  • Full name - displayed by default in printed forms of documents and 1C reports, in which the full name that your company has must be indicated in accordance with the law, for example, in regulated reports;
  • Name in the program - the name used for reflection in screen forms in the 1C program;
  • Prefix – a prefix (two alphabetic characters) that will be placed at the beginning of each document number of this organization;
  • TIN – taxpayer identification number;
  • KPP – code of the reason for registration of the taxpayer (at the location of the organization);
  • OGRN – main state registration number;
  • Registration date – date of state registration;
  • For an individual entrepreneur, fill in the fields Last Name, First Name, Patronymic, as well as the fields OGRNIP, Series and No. of the certificate, Date of issue;
  • The checkbox “Using the labor of hired workers” is set by an individual entrepreneur if there are hired workers.

The rest of the information about the organization is divided into the following groups:

Address and telephone

  • In this group, legal, actual and postal addresses, telephone, fax, and other contact information are filled in;
  • For an individual entrepreneur, fill out the address of residence and contact phone number.

Signatures

  • This group indicates the last name, first name, patronymic and position of the main responsible persons: manager, chief accountant and cashier;
  • The link “Responsible for the preparation of reports” requires filling in the last name, first name, patronymic and position of the persons responsible for the preparation of accounting and tax registers, as well as the enterprise’s reporting;
  • For an individual entrepreneur, fill in the last name, first name, patronymic and cashier position.

Logo and seal

  • In this group, you select the name (full or abbreviated) that is used when printing documents, and also upload the logo, facsimile signature of the manager and chief accountant, and the seal of the organization (if available);
  • Also in this group, additional conditions for substitution in the account are selected;
  • A sample invoice form with logo, facsimile signature, seal and additional terms is displayed in the Customer Invoice printable form preview.

Main bank account

  • This group contains the details of the organization's main bank account. To fill in information about the bank, just fill in the BIC field.

Statistics codes

  • Here you fill in the assigned statistical codes of the organization (OKOPF, OKFS, OKVED, OKPO) and the Code of the territorial body of Rosstat.

Automatic, indicating TIN

When you first enter the program, you are prompted to immediately connect to the 1C:ITS portal:


Here you need to specify registration data from the 1C:ITS portal (you must have a valid subscription to ITS). Next, the program will ask you to enter your Taxpayer Identification Number:

A new organization will appear in the directory based on the entered TIN. All basic details of the organization will be filled in automatically:


Setting up the organization’s accounting policies in the 1C program deserves special consideration.

Current legislation provides the opportunity to choose one of several ways to conduct accounting and tax accounting for an enterprise in a number of areas. The selected methods represent the accounting policy of the organization.

In order to bring the two types of accounting closer together, 1C: Accounting provides the possibility of using uniform accounting policy parameters for accounting and tax accounting. The accounting policy of an organization in the 1C program is set for a certain period, usually a year.

"1C:Accounting" supports the following taxation systems:

  • General taxation system for organizations;
  • General taxation system for individual entrepreneurs;
  • Simplified taxation system (for organizations and individual entrepreneurs).

In addition to any of the above systems, a taxation system in the form of a single tax on imputed income (UTII) can be applied for certain types of activities. An individual entrepreneur can apply the patent taxation system.


The tax system and taxation parameters are set in 1C individually for each organization.

Depending on the chosen organizational and legal form (individual entrepreneur, LLC) and taxation system, in the 1C program certain accounting policy parameters for accounting and tax accounting become available for further configuration.

  • If this is an LLC, then in 1C you need to fill in information for accounting and tax accounting. If you are an individual entrepreneur, then only for the tax authorities;
  • If the LLC is on a general taxation system, then in 1C the tax accounting parameters related to this taxation system are configured;
  • Setting up a simplified taxation system in 1C also involves selecting some specific parameters for accounting.

The 1C chart of accounts is part of the accounting policy for accounting and tax accounting. The chart of accounts is the same for all organizations in the information base.


You can add new accounts and subaccounts to the 1C chart of accounts. When adding a new account, you need to set its properties:

  • Setting up analytical accounting*;
  • Tax accounting (income tax);
  • Accounting by departments;
  • Currency and quantity accounting;
  • Signs of active, passive and active-passive accounts;
  • Signs of off-balance sheet accounts.

*Setting up analytical accounting for the 1C chart of accounts - these are the types of sub-accounts that are set as properties of accounts. For each account, analytical accounting can be maintained in parallel using up to three types of subaccounts. You have the opportunity to independently add new subaccounts.

In the “Personal Settings” form, you can specify values ​​for automatic substitution of 1C into document details.



Setting up 1C:Accounting from scratch also includes advanced settings in the administration section.

Introduction

Automation of accounting is one of the key tasks facing the management of each enterprise. Time dictates its conditions, and for a long time no one has been able to balance debits and credits manually: such accounting is cumbersome, clumsy, slow, labor-intensive and replete with errors.

Currently, the market offers a great variety of software designed to automate accounting and management processes in an enterprise. The most popular of them is the 1C system - a powerful multifunctional product that allows you to successfully solve almost any accounting and management problem. The author and developer of the system is the Russian company 1C (www), which has a widely branched network of branches, representatives and business partners in countries of both the former USSR and far abroad.

At its core, any 1C software product is a comprehensive use of a technology platform and a standard solution (configuration). The technological platform is the basis on which the use of the program is based, and the configuration specifies the direction of this use. In other words, the 1C technology platform is a kind of “framework” on which the configuration is “strung”.

Today, 1C offers products based on two technology platforms - versions 1C 7.7 and 1C 8. “Seven” has been known for a long time, and is probably the most widespread product in its market segment. As for the G8, its active promotion began several years ago, and currently more and more users of the 1C system are opting for products implemented on the basis of the 1C 8 technology platform.

The developers offer users several standard solutions of the 1C 8 system, focused on performing various accounting and management tasks: “Trade Management”, “Enterprise Accounting”, “Manufacturing Enterprise Management”, “Salary and Personnel Management”, etc. They can be used both together , and separately. Chapter 1. First acquaintance with “1C Accounting 8”

The first chapter of the book contains basic information about the 1C Accounting 8 program. You will learn what the functionality of this configuration is, what is the relationship between the System Configurator and its application solution, how to launch the program, create and select information bases, and much more.

Program functionality

Thanks to the flexibility of the technological platform, the 1C Accounting 8 program can be successfully used at enterprises of various forms of ownership and areas of activity. The functions available in it for accounting for financial resources, fixed assets and intangible assets, production, commercial and other types of costs, other assets and liabilities of the enterprise open up wide opportunities for management accounting and go far beyond traditional accounting standards.

The tasks solved using the 1C: Accounting 8 program can be formulated as follows:

♦ parallel maintenance of accounting and tax accounting;

♦ automation of all accounting and management processes occurring at the enterprise;

♦ accounting of enterprise funds;

♦ accounting of banking and cash transactions;

♦ accounting for the movement of inventory items;

♦ accounting of settlements with counterparties;

♦ accounting of warehouse operations;

♦ production accounting;

♦ accounting of fixed assets and intangible assets;

Relationship between the Configurator and the application solution

Any software product of the 1C family can function in two main modes: “1C: Enterprise” (application solution) and “Configurator”. The required mode is selected by clicking the corresponding button in the launch window (Fig. 1.4).

The “1C: Enterprise” mode (Fig. 1.1) is an application solution of the program in accordance with its purpose. In other words, it is in the “1C: Enterprise” mode that accountants, financiers, managers and other end users of the program work.

As for the “Configurator” mode (Fig. 1.2), it is intended for setting up and administering the program. Here configuration objects are created and edited, interfaces and dialog boxes are configured, the appearance and content of the printed form of documents is determined, and a number of other actions are performed to set up and configure the system. In most cases, an administrator or other authorized specialist works with the Configurator, since this requires specific knowledge.

In this book we will not dwell in detail on issues of program configuration - this is too deep a topic that deserves a separate book. Moreover, it is not recommended for the average user to make changes to the Configurator on their own: unskilled editing of it can violate the integrity of the data, and generally lead to unpredictable consequences. The only thing we will do in the Configurator is to connect the “Accounting” configuration to the technology platform, and also tell you how to use it to enable and use additional features implemented in the 1C 8.2 platform (see the relevant sections below).

A number of basic program settings have been moved to the 1C: Enterprise operating mode. You can edit them yourself, and how this is done will also be described in the corresponding section.

Launching the program and basic actions with information bases

After installing the 1C program, its program group will be created in the Start menu. The 1C Enterprise command is intended to launch the program (Fig. 1.3).

In this window, you can select the required operating mode, as well as the information base. As you already know, the 1C program can function in two modes - “1C: Enterprise” and “Configurator”. The required mode is selected by clicking the corresponding button in this window.

The central part of the program launch window contains a list of infobases. When you first start the program, this list may contain an information base with a demo configuration; This base is included in the delivery package and is intended for preliminary acquaintance with the system. The information base is selected by clicking on the corresponding list position. You can add new ones to the list or edit and delete existing information bases - how to do this will be discussed below.

The path to the infobase directory where the cursor is installed is displayed at the bottom of the window.

The procedure for starting the program is as follows: first, you need to click on the information base in the launch window, and then click the 1C: Enterprise or Configurator button, depending on the mode in which you want to start the program.

To start using the program, when you first launch it, you need to create an information base in which all data will be stored and with which you will work. To switch to the information base creation mode, you must click the Add button in the program launch window (see Fig. 1.4) - as a result, the window shown in Fig. will open on the screen. 1.5.

Here, using the switch, you need to indicate how the information base should be created. If you are just starting to work with the 1C program, and no information bases have been created until now, you need to set the switch to the Create a new information base position in order to create a new empty database for subsequent work. The second option is intended for connecting a previously created information base.

To move to the next step, click Next. When creating a new information base, a window will appear on the screen, which is shown in Fig. 1.6.

If you need to create an infobase based on an existing template (for example, based on a demo configuration), you need to set the switch to the Create infobase from template position. In this case, a list of available configurations and templates will be displayed below, in which you need to select the required position with a mouse click and click Next.

If you select the second option (lower position of the switch), an information base without configuration will be created. It will be possible to subsequently connect the required configuration from the corresponding file to it (we will consider the procedure for connecting the “Accounting” configuration below).

In this window, in the Specify the name of the infobase field, you need to enter an arbitrary name of the database to be created using the keyboard. Under this name, the infobase will subsequently be displayed in the list of infobases in the program launch window (see Fig. 1.4); you can later change it in the program settings.

Using the switch below, you need to specify where the created database will be located. In most cases, this is either a computer or a local network, so by default the switch is set to On this computer or on a computer on the local network. After clicking the Next button, the window shown in Fig. 1 opens on the screen. 1.8.

This window specifies the path to the directory in which the infobase files will be stored. To change the default option, click the selection button at the end of this field. As a result, the Select Directory window will open on the screen, in which, according to the usual Windows rules, the required path is indicated (if necessary, you can create a new directory).

In the Language (Country) field, select the language of the created infobase from the drop-down list. By default, this field is set to Russian. After clicking the Next button, a window opens as in Fig. 1.9.

In this window you can specify additional parameters for launching the infobase. If there are no special wishes for launching the infobase, you can leave the default values.

The process of creating an information base is completed by clicking the Finish button in this window.

To change the parameters of the infobase, you need to select it in the launch window (see Fig. 1.4) with a mouse click and click the Edit button, after which you can make the required adjustments in a step-by-step mode.

Deleting infobases is also carried out in the program launch window (see Fig. 1.4). To do this, select the database to be deleted by clicking the mouse and clicking the Delete button. In this case, the program will issue an additional request to confirm the deletion operation.

Remember that to operate the program you must have at least one infobase.

How can I connect the configuration or download the infobase myself?

Let us recall that the 1C 8 system includes two main elements - the platform and the configuration. First, the platform is installed, and then the configuration is connected to it (in our case, “Enterprise Accounting”). The configuration file is included with the system delivery and has the extension cf and connects through the Configurator. Let's look at how this is done.

In the program launch window (see Fig. 1.4), click on the name of the previously created infobase and click the Configurator button. As a result, the program window will open in the “Configurator” operating mode (Fig. 1.10).

In this window, you need to activate the main menu command Configuration Open configuration. As a result, the Configuration window will appear on the left (Fig. 1.11).

After this, execute the main menu command Configuration Load configuration from file. Please note that this command becomes available only when the Configuration window is open (see Figure 1.11). When it is activated, the Select configuration file window shown in Fig. is displayed on the screen. 1.12.

In this window you need to specify the path to the configuration file, select this file with a mouse click and click the Open button. Immediately after this, the configuration download process will begin. Information about the progress of this process will be displayed in the status bar at the bottom of the Configurator window.

Once the download is complete, the program will prompt you to update the database configuration. This request should be answered in the affirmative. Information about the progress of the update process will also be displayed in the status bar. In this case, the program will issue another request - to accept the configuration changes, which should also be answered positively (otherwise the update will not be completed).

After updating the database configuration, the title of the Configurator window should display the name and version of the loaded configuration. This will confirm that the configuration connection has been completed correctly.

If, when you try to connect a configuration, a message is displayed stating that the configuration structure is incompatible with the current version of the program, you can load it from a file with the extension dt a ready-made information base included in the delivery kit (two databases are offered - one with a demo example, and the other empty). To do this, execute the main menu command Administration Load infobase - this will open the window shown in Fig. 1.13.

In this window, you need to specify the path to the infobase file and click the Open button. After this, a warning request will open on the screen (Fig. 1.14).

You should answer this request in the affirmative by clicking Yes. After this, the process of loading the information base will begin, about which a corresponding information message will appear (Fig. 1.15).

After clicking Yes in this window, the Configurator will be automatically restarted. If at the same time a request appears to convert the information base due to the fact that it is incompatible with the current version of the program, you must answer it in the affirmative. Upon completion of the conversion, the program will issue a corresponding information message (Fig. 1.16).

After clicking the OK button in this window, the Configurator window will open (this may take some time), which will now look as shown in Fig. 1.17.

Please note that the title of the Configurator window should display the name and version of the current configuration. This will confirm that the infobase loading was completed correctly.

Now, using the main menu command 1C Enterprise Service, also called by pressing the Ctrl+F5 key combination, you can switch to the “1C: Enterprise” operating mode. If you execute the main menu command Help About the program (this can be done both in the Configurator and in the application solution), a window with information about the current version of the technology platform and configuration will be displayed on the screen (Fig. 1.18).

Now you can start using the program. In the next section we will talk about the general rules for working with the 1C Accounting 8 program and provide a description of its main interfaces and tools.

General description of the main interfaces and tools of the program

In the 1C: Accounting 8 program, each operating mode has its own user interface. This is a standard approach that is actively used in most Windows applications. Next, we will look at the main interfaces of 1C: Accounting 8, which any user of the program has to work with, and after that we will get acquainted with the main tools of the program.

Overview of the main program interfaces

After starting the program, its main window is displayed on the screen, which is shown in Fig. 1.19.

Here the user selects the required operating mode. This can be done using the main menu, toolbar, or function panel, which occupies the main part of the interface.

ATTENTION

Please note that the contents of the main program window, as well as the set of commands, functions, buttons and other tools available for use, depend on which interface is currently enabled. For example, if you have the “Accounting” interface enabled, then more than half of the commands will be missing in the Operations menu; if the “Administrative” interface is enabled, then most of the main menu items will disappear, etc. The most complete set of tools can be used when the “Administrative” interface is enabled. The selection of objects for further work is carried out in the selection or list interfaces. For example, to switch to the mode of working with any directory, you need to select it in the selection window (Fig. 1.20), which is called up on the screen using the main menu command Operations Directories.

In this window, you need to select the required object by clicking the mouse and pressing the OK button or the Enter key.


Also, selecting objects for viewing or editing can be done in list windows. A typical example is working with documents: when you activate the corresponding command, a list window opens on the screen (Fig. 1.21), in which you select a document for further work. Note that at the beginning of operation of the program with a newly created empty infobase, all interfaces of the list will be empty, i.e. there will not be a single position in them.

The list window contains a list of relevant positions (documents, organizations, counterparties, etc.). For each list item, general information is shown in the corresponding columns: date and document number, counterparty for the document, amount, type of operation, etc. (this is determined by the specific operating mode).

It is worth noting that the operating procedure in different list interfaces is largely similar. In other words, in the window of the list of cash orders, and in the window of the list of bank documents, and in the window of the list of documents for the receipt of goods, and in many other similar operating modes, there is a series of similar, standard actions, designed to perform certain operations. These actions are accessed using the corresponding commands in the Actions menu, which is opened by clicking the button in the upper left corner of the list window. Let's take a closer look at these commands, since when operating the program, most of them have to be used constantly. Along the way, we will get acquainted with several more typical program interfaces (filter settings, data display, etc.).

Add – using this command, you switch to the mode of creating a new position. When it is executed, an input and editing window opens on the screen. The Add command can also be activated by pressing the Insert key.

Copy – the command is intended to create a new position based on an existing one (namely, based on the one on which the cursor is placed in the list). This command is convenient to use when creating several positions of the same type, in which most of the details are the same. The Copy command can also be called by pressing the F9 key.

Edit – this command is also called by pressing the F2 key and is intended to switch to the editing mode of the current position. The necessary actions are performed in the editing window, which opens on the screen when this command is activated.

Delete directly - using this command, you can quickly and permanently delete the current list item. When it is executed, the program issues an additional request to confirm the deletion operation. You can also activate the Delete command by pressing the key combination Shift+Delete.

Set a deletion mark – this command (it can also be called by pressing the Delete key) is intended to mark the current list position for deletion. After completing it, the corresponding symbol will appear in the leftmost column. In the future, objects marked for deletion can be deleted using the main menu command of the program Operations – Deleting marked objects. You can uncheck the deletion mark at any time - to do this, you need to run this command again or press the Delete key.

Set date interval – using this command, you can set a filter on the documents displayed in the list depending on the date of their creation. Filter parameters are configured in the Period Setting window (Fig. 1.22), which opens on the screen when this command is activated.

The figure shows that this window consists of two tabs: Interval and Period. The Interval tab specifies the beginning and end of the time interval (in other words, the type of time period), and the Period tab specifies specific time frames. For example, if the Start of Year and End of Year values ​​are set on the Interval tab, then the current year will be accepted as the filter condition by default; however, on the Period tab you can select not the current year, but, for example, last or the year before last. In a similar way, a filter can be set by any quarter, month, week or day. It is also possible to enter a custom period. If the Use this period setting when opening checkbox is selected, then the set filter on the displayed data will be automatically applied each time this window is opened.

Search by number – this command is recommended to be used when working with a large number of documents. It is designed to quickly search for the required document by its number in a specified time interval (note that the time interval does not have to be specified - in this case, the search will be conducted only by the document number). When this command is executed, the window shown in Fig. is displayed on the screen. 1.23.

In this window, in the Document number field, enter the number of the document you want to find using the keyboard or from the drop-down list. The time interval for the search is specified in the fields In date range from to; the required values ​​can be entered either from the keyboard or using the selection button located at the end of each field. When you click on this button, a calendar window is displayed on the screen in which the required date is selected. In the Types of documents field, the checkbox must be checked opposite the position corresponding to the type of document (in Fig. 1.23 this position is called Outgoing payment order). The search process in accordance with the specified parameters is initiated by clicking the Find button; search results are displayed at the bottom of the window in the Found field. To quickly move to the required position, place the cursor on it and click the Select button - as a result, the Search by document number window will automatically close, and in the list window the cursor will be placed on the selected document.

Swipe – this command is intended to swipe the document on which the cursor is positioned. If the document date is less than the current date, then when this command is activated, a corresponding warning will be displayed on the screen with a proposal to post the document non-operatively. The document will be carried out after a positive response to this request. Immediately after posting the document, the corresponding attribute will be displayed in the leftmost column opposite it.

Cancel posting – this command is available only when the cursor is positioned on a posted document, and is intended to cancel posting of a document. After performing this operation, the sign of a posted document will disappear in the leftmost column.

Set selection and sorting of the list – using this command, you can set up a filter for the positions displayed in the list window. When you execute the command, the window shown in Fig. 1 opens on the screen. 1.24.

The contents of the filter settings window may differ depending on the current operating mode. In Fig. 1.24 it is shown in the mode of working with outgoing payment orders, and when working with documents for the receipt of inventory items or with powers of attorney, some of its parameters will be different. But in any case, the principle of operation in this window is the same.

This window consists of two tabs: Selection (this tab is open in Fig. 1.24) and Sorting. Let's look at the contents of each of them.

On the Selection tab, you can configure filter parameters. The left side of the tab contains a list of filter conditions (Number, Organization, Type of transaction, etc.). To select the required condition, you must select the corresponding checkbox. On the right, using the keyboard or using the selection button, the specific value of the selected filter is indicated: for example, in Fig. 1.24 the Contractor filter is selected, and the filter value is Zarya Hotel. Between the filter condition and its value, you should select the filter application option from the drop-down list (Equal to, Not equal to, In the list, Not in the list, etc. - different filter conditions have different application options). For example, in Fig. 1.24 For the Account filter, the Equals option is selected. This means that after applying the filter, only documents that were issued with the counterparty Zarya Hotel will remain in the list. If you set the Not equal option, then all documents executed on behalf of the counterparty Zarya Hotel will be excluded from the list (simply put, using the Not equal option, the reverse filter is turned on).

NOTE

Some users confuse the Organization and Account parameters. Remember that the Organization parameter implies the name of the organization on behalf of which the document is drawn up, and the Counterparty parameter means the name of the counterparty for the document.

To select multiple filter values ​​(for example, to specify several counterparties), select the In the list or Not in the list option. In the first case, documents that meet the specified parameters will be shown; in the second, such documents will be excluded from the list (similar to the Equal and Not Equal options).

In this window, use the keyboard to enter an arbitrary name for the filter to be saved and click the Save button.

In the future, to apply the saved filter, you should open the Selection window, place the cursor in the appropriate position and click the Restore button - as a result, all parameters of the selected filter will be restored in the Selection and Sorting window on the Selection tab. To remove a filter from the List of selections window, place the cursor on it and click the Delete button. The Close button is intended to close the List of selections window without selecting a filter, but using the Help button O Help information is called up.

The Sorting tab allows you to configure the sorting of documents contained in the list window. The contents of the tab are shown in Fig. 1.26.

The right side of the tab contains a list of possible sorting criteria, and the left side contains those that need to be applied. Moving features from left to right and vice versa is done using the arrow buttons located in the central part of the tab. The order of using sorting elements and switching the sorting direction is done using the arrow buttons, which are located at the top left of the tab. If you select the Use this sorting setting when opening checkbox, then the next time you open the list window, all items in it will be sorted by default in accordance with the current sorting settings.

To apply the filter and sort settings made in the Select and sort window, click OK; Using the Cancel button exits this mode without saving changes. The Help button is intended to call up help information.

Select by value in the current column - this command of the Actions menu is also intended to enable a filter on the displayed data, and the current value is taken as the filter condition. The current value means the value of the field in which the cursor is located.
